How to complete a booking

Step 1.
Complete our online booking form with the open home particulars and your contact details. We advise completion at least 48 hours prior to the open home. In fact, the more notice we have, the better. Please remember to contact the agent to provide them with your details prior to booking.

Step 2.
We contact you to confirm availability and send an email with a payment link. You can pay by Credit Card or PayID (our PayID is our phone number) if you prefer.

Step 3.
Once payment clears we send an email to confirm receipt and schedule attendance.*


*For scheduling reasons, payment must clear 24 hours prior to attendance unless using our Concierge service. In the event payment does not clear in time, a $25 processing fee will be deducted from your refund.

A day in the life of a scout..

Reaching out..
Our scout begins by calling the agent and having a quick chat to ensure the open is still happening, that the property is still on the market, and if it’s a rental, what the landlord’s priorities are. The scout also confirms it’s OK to take photos or video.

Your scout attends….
As most rental opens only allow 15 minutes to inspect, the scout gets busy taking photos, capturing video, taking notes and conducting any specific checks you’ve asked for. Once the open concludes, the scout turns their attention to the surrounding properties and neighbourhood for additional context. If the property is for sale, opens usually last longer, and the scout will collect more visuals.*

Wrapping up..
The scout then returns to their workplace to prepare your report and bundle your media ready for collection from our portal. Open Scout then reviews the assets, and finally sends an email with your download link for collection.

*The information collected during attendance will vary depending on the package you’ve requested.

What we deliver..

Photos
All photos are taken using Apple devices such as iPhones or iPads, and converted to JPG format. They are then resized and optimized while ensuring clarity and suitability for distribution to clients. The collection is made available for download as a ZIP file.

Videos
All video content is converted to MPG format, optimized, and reviewed for suitability before being distributed to clients as a single zip file.

Reports
Reports are available in either Microsoft Word or PDF format and can be provided with Open Scout branding or as a white label product. Report preferences can be specified on the booking form.

Our cancellation policy

We know our business grows through word of mouth, so protecting our reputation really matters to us. That’s why we’ve made our cancellation policy as fair and client-friendly as possible. At the same time, it provides for cancellations where Open Scout has already committed time, work that’s been done, and any costs Open Scout has incurred preparing for your booking. It’s about finding the right balance between flexibility for you and fairness for the people doing the work.

Cancellation of an open home by the agent
In this situation, where funds have been cleared, a full refund minus a $25 processing fee, OR attendance at an alternate open home is offered. In the event a client has not pre-registered with the agent and admission to the open home is declined by the agent, no refund is provided.

Cancellation of the booking by you
If Open Scout receives notification of cancellation 24 hours or more prior to the open home, a full refund minus a $25 processing fee is provided. If notification is received within 24 hours of the open home, a refund can not be provided.

Cancellation of the booking by us
In the event Open Scout cancels the booking 24 hours or more prior to the open home, a full refund will be provided. If we cancel within 24 hours of the open home, we will provide a full refund AND offer to attend another open on your behalf free of charge.

Cancellation due to uncleared funds
Payments for bookings must clear at least 24 hours prior to the open home for Open Scout to proceed with attendance. Where a payment clears within 24 hours of an open home, the booking is cancelled, and a full refund minus a $25 processing fee is provided.

Concierge Cancellation
As our Concierge package is a same day service, there is no refund for cancellations.

Do we cover your area ?

Our booking forms now have this check automatically built in. Jump to our order form and begin entering your address, then select it from the dropdown. If a green thumbs up icon appears, you’re good to go. If an orange triangle appears, the address is not in one of our coverage areas.

Note: you don’t have to submit the form – this happens in the background when you select an address.
